Firm Information:

Our firm is mostly virtual in nature and comprised of one lawyer and one legal assistant; however, we often partner with other attorneys and will meet clients as necessary at our office location.

Our work involves a mixture of bundled and unbundled legal services which include quick document preparation and review, transactional representation, dispute resolution and litigation, primarily in the areas of asset protection, business, construction, distributed energy, estate planning, finance, and nearly all things real estate.

We rely extensively on technology to enhance our client-centric approach, and to better and more efficiently prevent or solve our clients’ problems. We strive to create long-term relationships with each client.

This working arrangement also allows members of our team to more easily balance work with personal obligations, hopefully to contribute to a more rewarding and less stressful life!

Primary Purpose:

The primary purpose of the intake specialist/paralegal will be to work remotely and within our cloud-based management system as an independent contractor serving in two roles; one as the initial contact new clients have with our firm, acting as intake specialist, and the other as our paralegal.

As an intake specialist, responsibilities include taking calls from prospective and current clients, collecting and maintaining client contact data, creating CRM matters (for future marketing campaigns), preparation and tracking of engagement agreements, processing marketing workflows, and other client relationship matters. On average, we get about two prospective client calls per day.

As a paralegal, responsibilities include drafting a variety of title, transactional, and litigation-related documents in the above-referenced areas, managing associated case workflows, and being an amicable and knowledgeable liaison between attorney and client.

Personal Requirements:

Must be trustworthy, adaptable, a self-starter and good time manager
Must be personable and at-ease with many personality types
Must be detailed, organized, and open to constant improvement of the firm, us and yourself
Must take ownership of prospective client/client relationships and respective cases

Technical Requirements:

Must possess or have immediate access to quiet space to converse with clients via telephone
Must possess a reasonably fast PC computer with a minimum of two large screens (24”+)
Must possess a black and white printer of good quality (only for occasional printing)
Must possess a wired or wireless headset of good quality for VoIP telephone calls
Must possess a fast internet connection (recommended hard-wired cable access at 180+ MB/sec)
Must possess strong competence in the use of the following cloud-based software
• Case management software (preferably Actionstep)
• Document template development and assembly software (preferably HotDocs)
• Microsoft Outlook 2016
• Microsoft Word 2016
• Adobe Acrobat Pro DC
• Google Chrome
Must possess moderate competence in the use of the following software/systems
• VoIP phone system (preferably RingCentral)
• E-filing software (preferably FileTime and CM/ECF)
• Microsoft Excel 2016
• Stamps.com
Experience/competence in working with and integrating the following social media would be a plus:
• WordPress website and blog design and maintenance
• LinkedIn
• Facebook

Time & Compensation:

We recognized that the technical requirements are high so the firm may be able to help
Expected number of hours per week: initially 20-30 (or more as we accommodate more clients)
Paid as an independent contractor under written engagement
Compensation will be negotiated based upon the number of qualifications met
Compensation will reflect our broader expectations for this working arrangement
